We already back up to an external hard drive. Is that enough?
Rarely. External drives fail, get lost, or sit unplugged for weeks at a time. They're also vulnerable to ransomware if they're connected when an attack hits. A proper backup solution is automated, monitored, stored in multiple locations including offsite, and tested regularly to confirm it actually restores. A drive sitting in a desk drawer doesn't meet any of those requirements.
Does Microsoft 365 back up our email and files automatically?
No — and this surprises a lot of businesses. Microsoft 365 has basic recycle bin and version history features, but they're not a backup. Deleted items are only retained for a limited time, and there's no protection against accidental permanent deletion, ransomware encrypting your cloud files, or a disgruntled employee wiping data. Microsoft's shared responsibility model makes it clear that data protection in M365 is your responsibility, not theirs.
How quickly can we recover if something goes wrong?
It depends on the scenario and the solution we build for you, but we define Recovery Time Objectives (RTO) and Recovery Point Objectives (RPO) as part of your plan. For most SMBs we work with, individual file recovery takes minutes, and full system recovery from a major event is measured in hours — not days. We test these targets regularly so we know they're realistic.
What if we get hit with ransomware — can we recover without paying?
Yes — if your backups are properly isolated and immutable. The key is having offsite, air-gapped copies that ransomware can't reach. If ransomware encrypts your live data and your connected backups, but a clean cloud copy exists from 24 hours ago, we can restore from that and get you back running without paying a ransom. This is exactly why the 3-2-1 rule and immutable backups matter.
